WHO WE ARE: Founded in 1950, the World Affairs Council is the oldest nonpartisan, nonprofit international affairs organization in Oregon that connects Oregonians to the world.  The World Affairs Council of Oregon  has 11-13 employees, many volunteers, and four main areas of activity:  Public Programs (3-6 public programs per month on global issues and ideas including the International Speakers Series (four world-renowned speakers annually); the Global Classroom (K-12 education program and youth and teacher training; 8,000+ kids served annually); and the International Visitor & Training Program (organizes short-term visits for over 500 adult and 50 youth emerging leaders from over 100 countries each year).  Check our website at www.worldoregon.org.

JOB DESCRIPTION
Title: Administrative Assistant
Type of Position: Temporary, Part-Time Employee (up to 16 hours per week; additional hours with pre-approval); Non-exempt.
Hourly Pay Rate: $14 per hour
Benefits: Temporary employees are not eligible for benefits, however are eligible for sick leave in compliance with the Oregon Sick Leave Law earning 1 hour for every 30 hours worked available after 90 days of employment.
Start Date: July 1, 2017
End Date: June 30, 2018
 
Position Summary/Mission: To handle administrative tasks and provide backup for Membership Manager.
 
Responsibilities:
 
Administration
Perform general administrative duties
Responsible for routine entries, edits, and updates to Council database
Process incoming donations, event registrations, and other payments (membership dues, annual contributions, general donations, book sales, culture box rentals, etc.)
Responsible for the tracking and reporting of all data (ticket sales, attendance, sponsorships, income & expense budget) in support of Programs on World Affairs, including the International Speaker Series, Youth and Education, and donor activities
Provide basic technology assistance to staff and interns, in coordination with information technology consultant at the Nonprofit Association of Oregon
Manage technical and web support for staff and volunteers
Manage administrative processes related to new hires and onboarding staff
Manage all vendor accounts and relationships, including scheduling repairs for office equipment
Fulfill administrative needs for Young Professionals program
Support meetings for the President including appropriate tasks to prepare for and follow-up on such meetings, i.e. arranging meetings, menus, supplies, recognition, set-up, etc.
 
Perform backup to Membership Manager for membership and development duties
 
Perform other tasks as directed by the President
 
Required skills and attributes:
Excellent written and oral communication skills
Excellent Microsoft Office and database skills – experience with NationBuilder desired
o Subject to a possible database skills test
Excellent interpersonal skills, including intercultural sensitivity
Superb organizational skills
Ability to multitask
Eye for detail
Proactive, energetic personality; sense of humor, strong work ethic
Interest in international issues and other cultures
Commitment to producing high-quality, professional work
BA/BS degree preferred
